Primary Purpose: 

Under the direction of the Director of Child Nutrition, perform a variety of clerical accounting duties in support of child nutrition operations and activities; compile and assure the accuracy of meal count data and prepare related reports by category and site; monitor, audit and maintain food service accounts; prepare and maintain a variety of financial and statistical records, files and reports.

 

Qualifications: 

Education/Certification:

High school diploma or GED

Prefer Certified by TASN Level 1

 

 

Special Knowledge/Skills:

1. Proficient skills in keyboarding, word processing, and file maintenance

2. The laws, rules, and regulations related to all Child Nutrition Programs while ensuring compliance with the United States Department of Agriculture & Texas Department of Agriculture

3. Methods, practices, principles, and terminology used in accounting, auditing, and financial analysis

4. Effective communication and interpersonal skills

5. Ability to use personal computers and software to develop spreadsheets and databases and do word processing.

6. Basic math skills

7. Bilingual with the ability to speak, write, and listen effectively, organize thoughts logically, and explain technical concepts

8. Ability to take initiative, use good judgment, tact, patience, and confidentiality, and master challenges.

 

 

Experience: 3 years related accounting/clerical experience, preferably in a public education environment.

 

Major Responsibilities and Duties: 

1. Perform a variety of clerical accounting duties in support of child nutrition operations and activities including accrual accounting for child nutrition department books and payroll; prepare correspondence concerning food service activities as requested; verify and process a variety of forms and applications; establish filing systems; receive and process mail; maintain employee attendance records.

 

2. Responsible for accounting duties including but not limited to accounts payable, accounts receivables, cash counting, deposits, inventory, budgets, purchasing/activities, and reconciliations for the department.

 

3. Compile and assure accuracy of meal count data; consolidate breakfast and lunch meal counts according to established procedures; account for free, reduced, and paid applicants and make appropriate adjustments to meal counts; calculate revenue and expense figures; Assist in completing paperwork as required by State to verify usage of food items served, meal counts and reimbursement requests for state and federal reimbursements.

 

4. Verify, balance, and adjust cafeteria cash reports sheets, and assigned accounts in support of the child nutrition operations and activities; monitor funds for income and expenditures; audit accounts for errors and make appropriate adjustments; ensure financial activity complies with established local, State, and federal regulations.

 

5. Transfer funds as appropriate; receive monies and balance cash accounts; make bank deposits; reconcile and verify accuracy of bank statements concerning various funds

 

6. Compile information and prepare and maintain various financial and statistical logs, records, and reports related to food service accounts, income, expenditures, inventory, and assigned duties; submit reports to appropriate agencies or personnel.

 

7. Create, collect, process, and send invoices; collect monies due to child nutrition services; provide payment reimbursement and make deposits. Prepare and process requisitions and travel requests

 

8. Input budget, accounting, record-keeping, and other financial information into the assigned computer system and generate computerized reports; review data, records, and reports for accuracy and completeness

 

9. Responsible for processing Free/Reduced meal applications for completeness, accuracy, and conformance with State and Federal guidelines

 

10. Operate, administer, and assist users with the District Child Nutrition Information & Payment System point of sale system, online application system, online payment system, accounting system, and attendance system

 

11. Answer telephones; greet visitors, students, and outside agency personnel; provide information and assistance regarding child nutrition policies, activities, programs, and procedures; provide forms, applications, and assistance in their completion as appropriate

 

12. Responsible for secretarial/clerical duties for the nutrition services department, including maintaining calendars and staff schedules, assisting with production records and menus, filing, and organizing paperwork of the department

 

13. Perform related duties as assigned including fill-in as needed to perform point of sale operations, meal prep, and service during mealtimes.

Ability to communicate in English, so others will be able to clearly understand a normal conversation in person and/or on the telephone.Ability to operate a computer, point of sale system, fax, scanner, printer, calculator, telephone, and other office equipment with dexterity and safely and efficiently. Ability to routinely lift/carry office supplies and printed materials weighing up to 25 pounds. Physical mobility is sufficient to move about the work environment (office, district, between school sites) for sustained periods on hard flooring, stairs, and ramps, and to respond to emergencies. Physical agility sufficient to sit, stand, kneel, walk, push/pull, squat, twist, bend, stoop, and reach in all directions including overhead.
